This Privacy Policy explains how Summit AI LLC ("Company," "we," "us," or "our") collects, uses, discloses, and protects personal information for Optic D2D, including our website, account signup flows, organization creation process, demo requests, support requests, SMS opt-in forms, and related customer communications.

  • Organization information, such as organization or company name, user role, team size, plan interest, and account setup details.
  • Signup, onboarding, and support information, such as demo requests, organization creation questions, subscription setup details, and customer care notes.
  • Product usage information, such as account, organization, team, lead, territory, map, and workflow activity within Optic D2D.
  • Communication records, including text interactions, email responses, support messages, call notes, and appointment details.
  • Website and device data, such as IP address, browser type, pages viewed, cookies, and analytics data.

3. How Information Is Collected

  • Directly from you when you create an account or organization, request a demo, contact support, complete a form, or communicate with us.
  • Through the Optic D2D SMS opt-in form when you voluntarily provide contact information and select an optional SMS consent checkbox.
  • Automatically when you use our website or services, including through cookies, logs, analytics tools, and similar technologies.
  • From authorized organization administrators who invite users or provide business account information.
  • From service providers that process payments, authentication, hosting, communications, analytics, or support on our behalf.

4. How Information Is Used

  • To create, configure, and support Optic D2D organizations and user accounts.
  • To respond to signup, demo, onboarding, billing, and support requests.
  • To send customer care, onboarding, account-related, or promotional communications according to the consent you provide.
  • To provide and improve field sales, lead, map, territory, organization, and team management features.
  • To maintain security, prevent abuse, troubleshoot issues, and comply with legal obligations.

5. Service Providers and Legal Requirements

We do not sell, rent, trade, or transfer leads' personal information for another business's marketing or promotional purposes. Limited information may be processed by contracted service providers solely to operate Optic D2D, such as hosting, authentication, payment processing, CRM, communications, analytics, email, and customer support. These providers may use the information only to perform services for us. We may also disclose information when required by law or to protect the security, rights, and safety of Optic D2D, our users, or others.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. SMS Opt-In, Message Types, and Data Protection

SMS consent is voluntary and is collected through separate, optional, unchecked consent checkboxes. The non-marketing checkbox covers organization signup, account setup, onboarding, demo coordination, and support messages. The marketing checkbox covers product updates, offers, free trial reminders, event invitations, and service announcements. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe from texts and HELP for assistance. Consent is not a condition of receiving our services.

No mobile information will be shared with third parties or affiliates for marketing/promotional purposes.

Text messaging originator opt-in data and consent will not be shared with any third parties, except for aggregators and providers of the Text Message services.

SMS opt-in data and consent are not sold, rented, transferred, or used by another business for its own marketing. Consent applies only to messages from Optic D2D, operated by Summit AI LLC.

7. SMS Opt-In Records

SMS opt-in records may include your name, email address, mobile phone number, organization name, consent checkbox status, timestamp, source page, and submitted request details. We use these records to document consent and provide communications consistent with the consent selected.

8. Cookies and Tracking Information

We may use cookies, logs, analytics tools, and similar technologies to operate the website, maintain sessions, remember preferences, understand feature usage, diagnose errors, prevent fraud, and improve Optic D2D. You may control cookies through your browser settings, although disabling necessary cookies may prevent parts of the website or service from functioning correctly.

9. Data Security and Retention

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. These safeguards include role-based and least-privilege access controls, authentication controls, encrypted transmission where supported, secure hosting and payment providers, logging and monitoring, access restrictions for workforce members, vendor review, and incident response procedures. No system can guarantee absolute security.

We retain personal information only for as long as reasonably necessary for account administration, customer support, security, legal compliance, dispute resolution, consent records, and legitimate business operations. Information is deleted, anonymized, or securely disposed of when it is no longer required, subject to applicable legal and technical requirements.

Optic D2D is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Optic D2D may link to or integrate with external websites and services. Their privacy practices are governed by their own policies. This does not permit the sale or transfer of SMS opt-in data or consent to those services for their own marketing purposes.
